# Career Opportunity: Accounting, Administration, and Finance Assistant at the Embassy of Switzerland in Indonesia

## Role Overview and Core Responsibilities

The successful candidate will play a vital supporting role within the mission, ensuring seamless financial operations, robust administrative oversight, and efficient logistical coordination. The primary duties are categorized into four key areas:

1. Programme Implementation Support
* Assist the Indonesian National Board for Disaster Management (BNPB) in drafting financial and administrative paperwork in strict accordance with Swiss Agency for Development and Cooperation (SDC) regulations—including terms of reference, procurement requests, contracts, invoices, and payment vouchers.
Thoroughly review and audit administrative and financial files generated by BNPB and the Direct Action team, ensuring adherence to procurement protocols, signatory thresholds, and Indonesian standard cost benchmarks (Standar Biaya Masukan* or SBM).
* Coordinate closely with the embassy’s finance department to track payment approvals and draft contracts utilizing the internal ESPRIT platform.
* Assist the Direct Action team in settling cash advances and reconciling overdue payments following the conclusion of project activities.

2. Accounting and Financial Reporting
* Accounting Operations: Perform quality control on payment requests, execute bank payment entries, conduct initial payment authorizations twice weekly, log transactions into the Vision+ accounting software, and handle document scanning and archiving.
* Monthly Reporting: Gather SAP data extracts and financial documents, authenticate all vouchers and supporting receipts, and compile the monthly accounting ledger for review by the Programme Manager.
* Cash Flow Management: Refresh quarterly cash flow projections based on revised work plans under the direct supervision of the Programme Manager.
* Budget Tracking: Assist in updating budgets relative to current expenditures, active purchases, and pending clearances, while maintaining meticulously updated logs for partial actions and contracts.
* Provide backup support to the embassy's primary bookkeeper during periods of lower workload within the Direct Action unit.

3. Administration, Quality Control, and Logistics
* Oversee official correspondence and maintain a systematic filing infrastructure for Direct Action.
* Conduct meticulous quality control and formatting reviews for documents produced by BNPB and project officers, such as concept notes, activity reports, quarterly updates, meeting minutes, and official correspondence.
* Coordinate logistics for field missions, project steering committee meetings, and specialized workshops.

4. Communication and Event Management
* Provide translation support between Indonesian and English as needed.
* Assist in organizing special events, drafting newsletters, managing social media updates, and hosting visiting Swiss government delegations.

## Essential Qualifications and Candidate Profile

* Educational Background: A Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field.
* Professional Experience: 2 to 5 years of proven experience in financial reporting, accounting, procurement, logistics, and administrative management within international development programs in Indonesia. Background knowledge in disaster risk management is considered a distinct advantage.
Technical Expertise: Hands-on experience applying Indonesian government financial policies, particularly Standar Biaya Masukan* (SBM). Advanced proficiency in Microsoft Office (Word and Excel), accounting software, and a willingness to learn specialized financial tools.
* Personal Attributes: Uncompromising integrity, loyalty, trustworthiness, and strict adherence to confidentiality.
* Soft Skills: Outstanding organizational capabilities, superior planning aptitude, and a proactive, dynamic team spirit suited for a multicultural workplace.
* Language Proficiency: Fluency in both English and Indonesian (written and spoken). Proficiency in German or French will be viewed as an asset.
